Why Strict Vetting is the Secret to a Peaceful Home and How we Help Tenants?

When you’re looking for a new home, we know that administrative paperwork is usually the last thing you want to deal with. Filling out forms, gathering documents, and requesting employer signatures can feel like a chore.

I remember looking for my first property to rent many years ago, and I had many questions in my mind regarding various checks introduced by letting agents. I scratched my head wondering why the heck they need to know so much about me if all I'm trying to do is to rent a house. Well, now I know and I'm very happy to share why it's so important from a perspective of an owner of a property management company. Most importantly, how it helps everyone involved directly and indirectly in this process.

The short answer is simple: We aren't just protecting a building—we are protecting a community.

When you move into an HMO (House in Multiple Occupation), you are sharing a front door, a kitchen, and a living space with other working professionals. Our job as property managers isn't just to fill empty rooms; it's to curate a safe, peaceful, and respectful environment where everyone can thrive. And achieving that requires a rigorous, well-organised vetting process, often crafted around circumstances of each individual.


What We Require From Applicants (And Why)

Our screening process is designed to verify three core things: identity, financial stability, and character.

To make sure every housemate moving into one of our properties is genuine and reliable, we ask every applicant to provide:

  • Proof of Identity: A valid copy of your Passport or ID, along with a Right to Rent share code to confirm legal status in the UK.

  • 3 Months of Bank Statements: To verify income stability and ensure rent payments will be comfortable and manageable alongside your day-to-day living costs.

  • Employment Verification: A current contract of employment and direct contact details for your HR department.

  • Previous Landlord/Agent References: To confirm that you have a track record of treating previous homes with respect and paying rent on time.

For Student Applicants

We love welcoming students! However, because full-time study means limited working hours, we require a qualifying Guarantor. The guarantor must earn a minimum of 36x the monthly rent annually and provide proof of income alongside the applicant's student loan or funding confirmation.


Every Situation is Unique: The Power of Open Communication

While our criteria are strict, we also know that life isn't always cookie-cutter. People relocate, start new jobs, or transition between life stages.

We don't rely on cold, automated computer algorithms that automatically reject people for minor hiccups. Communication is our strongest suit. If an applicant's situation is slightly unusual, we work directly with them to find a safe, creative solution—whether that means adjusting guarantor terms or providing additional proof of funds—that protects the property while keeping the application feasible for the tenant. The best part is that often tenants feel that they have no chance to go through application process, yet we manage to deliver a successful contract. So remember, there's always a way if you are honest and have good intentions!


Why Vetting Matters: Filtering Out the Red Flags

It is no secret that property fraud and dishonest applications exist. But the biggest risk of poor referencing isn't just a missed rent payment—it’s the human cost to the other tenants in the house.

It only takes one disruptive, dishonest, or aggressive individual to ruin the living experience for four or five fair, hard-working housemates who just want to come home, cook dinner, and relax. Thorough referencing is our filter to ensure that never happens.

And when tenants live in a house where everyone was checked to the same quality, guess what they think... That each other tenant coming in the future will likely be a nice person and it's very improbable that they will turn to be a bad person. That's a nice luxury amongst our tenants, hence they typically stay with us for long.


The Lesson We Learned in 2022

We didn't build our strict vetting process in a vacuum—we built it from real-world experience.

Back in 2022, we had a room available and received an application from a prospective tenant. On paper, her income looked sufficient, but something felt slightly off: she was struggling to provide a reference from her current employer.

She needed a place urgently and promised that her mother would sign as her guarantor as soon as she was discharged from the hospital. Wanting to be empathetic and help someone out in a tough spot, we made an exception. We accepted her upfront payment, let her move in, and agreed to finalize the guarantor paperwork shortly after.

From that moment, everything went wrong:

  • The mother’s guarantor agreement was never signed (we later realized the hospital story was almost certainly a fabrication).

  • After the initial move-in payment, she never paid another penny of rent.

  • She completely cut off communication, ignoring emails, calls, and texts.

  • During routine safety and maintenance visits, she locked herself in her room, refusing entry and preventing us from carrying out required safety checks.

  • When we managed to speak with her, she was hostile, rude, and refused any support or resolution offered.

  • Other tenants felt intimidated in the house because of her bad attitude

Resolving that situation took months of unnecessary stress, legal costs, and—most importantly—disruption to the quiet enjoyment of the other housemates in the building.

At the end we won - she left the property on bad terms, leaving behind some "belongings" that our cleaners found very unpleasant to remove. But we gained the possession of the room, cleaned it and rented it out to a new tenant. Lesson learned, so we moved on.


The Moral of the Story

That experience in 2022 taught us a vital lesson: cutting corners on referencing helps no one.

When we ask for bank statements, employment details, and references, it isn't to make anyone's life difficult. It's our guarantee to you that when you turn your key in the front door of an MD Accommodation property, every single person living under that roof has passed the exact same high standards.
